Project Manager
Job Summary
The Project Manager is responsible for leading cross-functional projects from concept to completion while supporting executive leadership through strategic planning, coordination, and organizational oversight. This role partners closely with the CEO, Executive Director, VP of Operations/Finance, and other internal stakeholders to drive operational excellence, streamline processes, and ensure timely, on-budget execution of organizational initiatives.
This position requires exceptional project management capabilities, strong communication skills, and the ability to thrive in a fast-paced, evolving environment with shifting priorities.
General Responsibilities
Project Management & Coordination
Manage multiple cross-functional projects from planning through closeout.
Develop project scopes, timelines, budgets, deliverables, and success metrics.
Coordinate internal and external project partners, including designers, consultants, and vendors.
Lead bid, award, and contract coordination processes as needed.
Maintain project tracking tools, ensuring deadlines are met and progress is communicated effectively.
Provide structured project updates, reports, and recommendations to senior leadership.
Operational & Executive Support
Provide responsive, reliable administrative and project support to the CEO, Executive Director, and VP of Operations/Finance.
Assist with internal operations initiatives, strategic planning work, and process improvements.
Rapidly adapt to changing priorities and independently manage shifting workloads.
Prepare reports, presentations, dashboards, and briefing materials.
Facilitate communication between departments to promote alignment and organizational efficiency.
Budgeting, Scheduling & Task Management
Build and manage detailed spreadsheets and dashboards.
Create realistic, well-structured project schedules and milestones.
Ensure projects remain within approved budget parameters through proactive monitoring and forecasting.
Break down complex projects into actionable tasks and assign responsibilities appropriately.
Leadership, Communication & Stakeholder Management
Serve as a central point of coordination among executives, project teams, contractors, and external partners.
Demonstrate strong leadership through motivation, conflict resolution, and aligning teams toward shared outcomes.
Negotiate effectively when priorities shift or conflicts arise.
Document and report project outcomes to support future planning and organizational learning.

Job Qualifications
2+ years of experience in project management, operations, executive support, or related field.
Experience working with cross-functional teams or in healthcare environments is a plus.
Strong organizational, analytical, and communication skills.
High attention to detail and ability to manage multiple projects simultaneously.
Ability to work effectively with executive leadership and maintain strict confidentiality.
Experience with project management platforms preferred.
